In this role, you’ll lead the planning, delivery, and implementation of technology-driven projects that are central to our digital transformation programme. If you have a passion for using new technology solutions to improve systems, processes, and experiences, this is an exciting opportunity to make a real impact. You’ll bring substantial technical expertise with a broad and well-rounded understanding of digital technologies rather than a deep specialisation in any single area. You’ll have hands-on experience with a range of modern technologies that might include automation, business intelligence, cloud platforms, AI, and systems integration. You will also be confident assessing new and emerging tools for their potential value. Your depth of knowledge in technology will allow you to engage confidently with technical specialists, suppliers, and non-technical stakeholders alike. With an eye on the detail, you will also keep sight of the bigger picture, ensuring every project aligns with organisational goals and supports long-term digital growth. You’ll manage a portfolio of digital projects from concept to completion, applying recognised project management methodologies to ensure delivery on time, on budget, and to specification. This role sits at the intersection of technology and change management, therefore you’ll work closely with internal teams and external partners, managing suppliers, guiding technical delivery, and engaging stakeholders at all levels to drive digital innovation across the organisation. From exploring new tools and platforms to overseeing their successful implementation, you’ll ensure each project contributes meaningfully to our wider transformation goals, enhancing both how we work and how visitors experience what we offer. The difference you’ll make As part of our enthusiastic and dedicated IT team you will report directly to our Chief Technology Officer. Your responsibilities will include but not be limited to: - Leading and managing digitalisation projects (e.g. AI, automation), ensuring their timely and successful execution. - Developing and championing digital value propositions that enhance operational efficiency and/or improve the visitor experience. - Proactively identifying and achieving buy-in for major digitalisation and technology improvements which contribute to the digital transformation programme across the galleries from both a back-office and visitor experience. Working closely with the project teams and stakeholders at various levels across the organisation. - Leading and managing IT projects through all stages of their lifecycle from ideation to implementation in line with agreed programme and project management standards of National Galleries of Scotland. - Providing day-to-day management and leadership to the project teams to ensure delivery of deliverables/solutions. - Working with stakeholders to scope solutions in line with their requirements, key strategies and the requirements of overall technical architecture of the organisation. - Liaising with and managing suppliers in the delivery of project objectives and services. Who we are looking for To succeed in this role, you’ll need the following range of knowledge, skills, and experience: - Educated to degree level, or equivalent in information technology or related discipline, or equivalent qualification and practical experience. - A flexible, supportive and collaborative working style, with strong leadership and negotiation skills. - Proven experience and knowledge of innovation with a variety digital technology (for example but not restricted to AI, automation, business intelligence, integration). - Solid project management skills with the ability to deliver digital projects using formal methodologies such as Prince2 and Agile. - Skilled in managing project teams in a collaborative manner. - Experience of successfully liaising with stakeholders of all levels, balancing priorities and managing collaborative working. - Good written and verbal communications skills ranging from report writing to presentations to face-to-face meetings. - A flexible approach with the ability to initiate, self-manage and work on several interdependent projects simultaneously. - Self-motivated, proactive and demonstrable willingness to ‘go the extra mile.’ - Creative problem-solving skills. - Meticulous attention to detail and the capacity to quality-check own work and that of others. - Ability to learn to new skills, new technologies, and methods of working. We have a fantastic opportunity for an experienced and creative Communities & Families Learning Coordinator to join our passionate Learning and Engagement Team. You must have proven experience in developing and coordinating programmes and resources that connect meaningfully with diverse audiences, alongside a strong background in working with communities and families, ideally within galleries or museums. Based across our four amazing Galleries in the heart of Edinburgh, you’ll help deliver inspiring, inclusive, and accessible learning experiences for families, early years audiences, and adults with specific access requirements. We’re looking for someone with a creative and practical approach to learning and engagement programmes. You’ll bring enthusiasm, strong organisational skills and a collaborative mindset to everything you do. In this varied and rewarding post, you’ll be part of a dedicated team where mutual respect and excellent communication are key. For 2.5 days each week, you’ll job share with our Communities Learning Coordinator. Together you’ll coordinate our community learning programme. The remaining 1 day will focus on leading engaging sessions and developing resources for families, including our much-loved Family Fridays. Working closely with colleagues, artists, and community partners you will develop imaginative learning opportunities that make a genuine difference to people’s lives. If you’re passionate about inclusion, creativity, and the role of galleries in supporting learning and wellbeing, this is a wonderful opportunity to join a friendly team and play a vital part in shaping our community and family engagement work. The difference you’ll make You will work alongside the existing the Communities Learning Coordinator and the Families & Early Years Programme Coordinator to deliver key strands of the community and family programmes. Reporting to the Deputy Head of Learning & Engagement you will: - Develop, manage, and coordinate regular learning programmes for adults with specific access requirements including programmes created with and for deaf audiences, autistic adults, adults with a learning disability, audiences with sight loss and those living with dementia. - Manage visits to National Galleries of Scotland from a range of community and access groups and liaising with freelance artists. - Work with colleagues to develop access resources including audio description, BSL tours and sensory videos. - Develop, manage, and coordinate learning programmes and resources for families with children under 12 including early years and our weekly Family Friday programme. - Monitor, evaluate and document the programme and resources. - Complete admin tasks including room bookings, compiling reports, KPI, budgets and purchase orders. - Represent and promote our work outside of the organisation. Who we are looking for To succeed in this role, you’ll need the following range of knowledge, skills, and experience: - Proven experience of developing, co-ordinating and evaluating learning programmes and resources, both digital and in person, with and for adults with specific access requirements. - Experience of consulting and working with disabled, deaf, and neurodivergent audiences. - Competent at delivering creative learning opportunities for families and early years including those with additional support needs. - Enthusiasm, creativity, and a strong commitment to gallery learning and engagement. - Knowledge of current best practice and research around accessibility in a gallery or museum setting. - Excellent communication and interpersonal skills with the ability to build positive relationships across teams and with external partners. - Proficient in completing budget admin tasks accurately and on time. - Strong organisational and time management skills, with the ability to manage multiple projects simultaneously. - Flexibility with working hours, including occasional weekends and holiday periods, as learning programmes require. We’re looking for an experienced and proactive Records Manager with a strong track record in developing and implementing effective records management systems and processes. In this role, you will be responsible for implementing the records management plan for the organisation in line with the Public Records (Scotland) Act 2011. You’ll work with colleagues to develop classification schemes, implement retention schedules, and oversee systems that support both current business needs and the preservation of our historical corporate records. This is a hands-on position with real influence, giving you the opportunity to shape how information is managed. Working across all four of our amazing Galleries based in the heart of Edinburgh, you will embed best practice and help to build a culture of effective and efficient records management across the organisation. You’ll combine excellent organisational and strategic thinking skills with the ability to train and support colleagues. Strong communication will be key, enabling you to engage with stakeholders at all levels and provide clear, practical guidance. You will also bring sound knowledge of information legislation and excellent IT skills, particularly in Office 365 and SharePoint, with the confidence to apply these in a practical, solution-focused way. Working 21 hours (3 days) per week there is flexibility with which days of the week you work. This can be discussed and agreed on offer. Who we are looking for To succeed in this role, you’ll need the following range of knowledge, skills, and experience: - Good degree or equivalent career achievements. - Proven track record in professional records management with experience of developing records management systems and processes. - Ideally you will also have a good knowledge and understanding of the Public Records (Scotland) Act 2011. - Ability to understand organisational structures, processes, requirements and issues, and their impact on records management. - Experience of training and supporting staff in records management processes and procedures. - Ability to think strategically. - A broad understanding of relevant Scottish, UK, and EU information legislation. - Ability to provide advice and guidance to senior management. - Excellent communication and interpersonal skills with the ability to write clearly and concisely. - Excellent IT skills including Office 365 and SharePoint.
